Once the essential settings have been made, you can proceed to further customise Teamwire to suit the needs of your organisation.

This document convers the following topics:

5 Enable features

In the icons-permission.svg App Permissions section, you can define the app's features on a granular level. In addition, a platform-specific management is possible, allowing you to make different decisions for mobile app, desktop app, and web client.

These settings include, among others:

  • sending alerts and attention messages.
  • voice and video calls in 1:1 chats or group chats.
  • sharing photos, videos, files, locations, and many more (each configured individually).
  • making a screen lock mandatory.
  • defining the maximum of members per chat.
  • editing chat members subsequently.
  • leaving chats.
  • deleting chat messages.

6 Manage circles

In the icons-circle.svg Circles section, you can administer frequently used user groups. Circles simplify creating new chats and member management in the Teamwire app. They usually reflect your organisation's departments, work groups or members of a team project. The circles are synced to the corresponding user devices and will update whenever changes are made to them in the Teamwire Dashboard automatically.

To create a circle, click the button Add Circle and enter its name. You should choose distinct circle names that your users can easily associate with a group of people.

  • Add members to circle
    You can add members to a circle with the Add Members button above the circle's detailed information.
    A list of all available users will be displayed in a new window. To add one or more members to the circle, tag the user(s) at the start of each line and click the Update button.
  • Remove members from circle
    Below the circle's detailed information, you can see all present members.
    To remove one or more members from the circle, tag the user(s) at the start of each line and click Remove.
     

  Optional: Make circles public

Circles are not public by default. This means that users usually need to be a member of circles themselves to see them in the directory and to add them to a chat. Public circles, on the other hand, are seen by all users of the organisation, even if they are not members themselves.

Use the Make Public button above the circles's detailed information to flag them as public.

This action cannot be undone. You cannot "un-publish" a circle.

7 Define retention settings

In the icons-setting.svg Retention Settings section, you can define different retention periods to reflect the terms of your privacy policy.

There are separate retention periods for the following specifics

  • Database
    The time period during which the organisation's chats and messages will be kept in the server database. Older contents will be irretrievably removed.
  • Devices
    The time period during which chats and messages will remain visible on users' devices. Older contents will be deleted from the local database.
  • Sessions
    During this period of time users' sessions may remain inactive. Older sessions will be deleted.
  • Audit Log
    The time period during which the organisation's entries in the Audit Log will be kept in the server database. Older entries will be deleted.

8 Set up archiving

In the icons-file.svg Archives section, you can download the events of your organisation's chats. Beside text messages and attachments, the archive records changes made to chat settings and chat members (done manually or due to circle modifications).

Enabling the archiving feature requires a Teamwire Server configuration for each dashboard admin who should be able to archive.

  • For Teamwire Cloud admins: Please contact your sales representative.
  • For admins of an on-premise or private cloud solution: Please contact your server administrator to configure archiving accordingly.
